To request money from the Office of Student Affairs, you need to prepare and provide a budget proposal. This proposal will be reviewed by Matt Blum, and he will determine if it's approved. If/When it's approved, you'll work with Jeanne to make any purchases, and Emily for any assistance with non-financial details.
While every proposal is different depending on what you’d like the Office of Student Affairs to assist with, here are some general guidelines to help make your proposal as comprehensive as possible. Please take away and apply what is relevant to you in your own budget.
You will receive an email with a status update after Matt reviews your budget proposal. He may a) approve the full amount, b) reject the amount, or c) agree to partial subsidy to assist with costs. You should have a thorough understanding of the financial resources you have available (club funds, etc.) so that you are prepared to cover costs the Office of Student Affairs may not pay for.
Once Matt responds with an update, you will likely need to reach out to Jeanne to work on next steps. This could include paperwork for a performer or making purchases of food and/or supplies.
To purchase food, you need to have a restaurant menu and an itemized list of what you’d like to purchase that should be emailed to Jeanne. You can typically find the restaurant menu on the site of your restaurant, or by asking staff for a copy in-person. In your itemized list, make sure to include any modifications to a dish for dietary restrictions, and the quantity and name of the dish. When Jeanne places the order, she’ll also need a contact person for pickup or delivery - please have a student prepared to be that contact.
To purchase supplies, you need to have an itemized list of what you’d like to purchase. This should include a link directly to the item, and a quantity of how many of that item you’d like to purchase. This can be a spreadsheet or a Word document, and should be emailed to Jeanne for purchasing.
To hire a speaker/performer, reach out to Jeanne to request information on next steps. There will typically be some paperwork involved that needs to go to the speaker/performer to get the process started.
